Salesforce is a great tool for your company, but sometimes it requires an optimization to keep it in alignment with your business processes. By following our keys to optimizing Salesforce, you have the potential to uncover unused functionality and increase user adoption.
StarrData has extensive experience working with Salesforce and Salesforce customers, and through our experience, we have developed keys to optimizing Salesforce that fit our customer’s needs. Here are a few steps you can take to improve your Salesforce, and read our previous post to learn how changes to page layouts, list views, and system administrators can impact your instance.
1. Restrict access to create Salesforce public reports and Salesforce dashboards
When there are too many reports and dashboards in any given folder it becomes difficult to find the ones you need. To avoid this problem, utilize folder permissions in Salesforce to restrict user access to certain folders and reports/dashboards. By limiting who can save reports to certain folders, you can prevent clutter and keep those folders clean. Simply teaching users how to modify and save reports in their personal folder can also help keep your shared folders clean.
2. Set up your apps properly for the people that will use them
When you set up Salesforce, you have the ability to set it up with different apps for your different departments, such as Sales, Marketing, and Support. To make it easier for your users, set these apps up for the people that will be using them. For example, in your marketing app, include campaigns and leads, but hide those objects in the app for your support users since they won’t be using them.
3. Use Salesforce validation rules to help ensure data integrity
Clean data is a key to being successful with Salesforce. To ensure data integrity in your Salesforce, create validation rules designed to prevent users from saving records with incomplete or invalid data. It is unlikely for users to go back and correct incomplete data they’ve input, so set up validation rules to force users to enter data correctly from the start.
