Our Salesforce Best Practice of the Week: Simplifying Salesforce Automation

Weather you use Salesforce Group edition or Salesforce Enterprise edition, Salesforce Automation can be utilized to improve efficiency and data accuracy.

Salesforce workflow rules are only available in Enterprise edition and above but Salesforce formula fields are available in all Salesforce editions and can be used for more than just adding or dividing.

Salesforce cross-object formula fields are one of the most under-utilized features in Salesforce but they can contribute some of the most value to your implementation. They allow you to pull data onto one record from a related record up to ten relationships away. Please keep in mind that they can only pull data from the one record to the many records.

For instance, if you have a need to place the account shipping address on the opportunity page, you could place new address fields on the opportunity and your users could copy and paste or manually enter the data. This leads to more work with redundant data entry and opens you up to possible errors. Then, if the account’s address changes, you have to go and update all of the related opportunities.

Instead, by using a cross-object formula, each new and existing record will always have the proper address. If the address is changed on the account, it is automatically reflected on all related opportunities. Think of the possibilities! No more entering data that is already in the system.
